This policy explains what personal information MyEasyBase Technology Inc. collects, why we collect it, where we keep it, and what you can ask us to do with it. It applies to this website, your client area, and the services you buy from us.
We are a Canadian company and we handle personal information in line with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy law.
The short version
- We collect what we need to sell you a service and support it. Nothing else.
- We never sell your personal information, and we never rent your email address to anyone.
- Your account data is stored in Canada.
- We never see or store your full card number.
- You can ask us what we hold about you, correct it, or ask us to delete it.
What we collect
Information you give us. Your name, email address, postal address, phone number and business name when you create an account, place an order or open a support ticket. If you subscribe to our newsletter, we keep your email address and the date you consented.
Billing information. Your billing address and a record of what you bought and when. Payment card details are collected by our payment processor on their own systems — they do not pass through, and are not stored on, our servers. We keep only a token, the card type and the last four digits so you can recognise your own payment method.
Information about the services you run. Domain names you register or transfer, DNS records you create, mailbox addresses, and the sites you host with us.
Technical information. IP addresses, browser and device details, pages requested, and timestamps. Our servers write these to logs automatically, as every web server does.
Support correspondence. The contents of tickets, emails and chats, so the next person to help you can see what has already been tried.
Why we collect it
| Purpose | What it covers |
|---|---|
| Providing the service | Setting up hosting, registering domains, delivering mail, running your site |
| Billing | Invoicing, taking payment, renewals, tax records |
| Support | Answering tickets, diagnosing faults, checking you are who you say you are |
| Security | Detecting abuse, blocking attacks, investigating incidents |
| Legal obligations | Tax records, registry requirements, lawful requests |
| Communication | Service notices, renewal reminders and — only if you asked for it — our newsletter |
We rely on your consent for marketing email, and on the necessity of performing our contract with you for everything else.
Domain registrations are different
When you register a domain, we are required to pass certain registrant details to the registry that operates the extension — CIRA for .ca, and the equivalent body for every other one. This is a condition of registering a domain anywhere, not a choice we make.
Some registries publish part of that record publicly in WHOIS. We include WHOIS privacy free on every domain whose registry permits it, which replaces your details in public lookups with our privacy service. A few registries require some registrant data to stay public by law; we tell you which before you buy.
Cookies
We use cookies for things the site cannot work without: keeping you signed in, remembering what is in your cart, and protecting forms against cross-site request forgery.
We do not use advertising cookies, and we do not allow third parties to track you across other websites from here. Our cookie policy lists each cookie, and the services on our pages that set their own.
Who we share it with
We share personal information only with:
- Service providers who process it on our behalf — our payment processor, our email delivery provider, and our datacentre operator. Each is bound by contract to use it only for the work we have asked them to do.
- Domain registries and registrars, where a registration requires it.
- Law enforcement or a court, where we are legally required to respond. We ask for proper legal process, and we tell you unless we are prohibited from doing so.
We do not sell personal information, and we do not share it for anyone else's marketing.
Where your information lives
Your account, billing and hosting data is stored in our Canadian facility in Toronto, Ontario.
Some of our service providers operate outside Canada, which means limited categories of information — an email in transit, for example — may be processed elsewhere and could be accessible to the courts of that country. We choose providers with that in mind and keep the categories narrow.
How long we keep it
- Account and service data: while your account is open, and for 90 days after it closes so you can change your mind.
- Invoices and tax records: seven years, because Canadian tax law requires it.
- Support tickets: three years.
- Server logs: 30 days, except where an entry is part of an active security investigation.
- Newsletter subscriptions: until you unsubscribe, plus a record of the unsubscribe so we do not email you again by mistake.
Your rights
You can ask us to:
- Show you what personal information we hold about you.
- Correct anything that is wrong.
- Delete your information, where we are not required to keep it.
- Export your data in a portable format.
- Stop marketing to you, at any time — every newsletter has an unsubscribe link, and it works immediately.
Write to our privacy contact below and we will respond within 30 days. If you are not satisfied with our response, you may complain to the Office of the Privacy Commissioner of Canada.
Security
We use encryption in transit for everything, encryption at rest for backups, two-factor authentication on staff accounts, and access controls that limit who can see customer data to the people who need it to do their job.
No system is perfectly secure. If a breach ever affects your information in a way that creates a real risk of significant harm, we will tell you and the Privacy Commissioner, as the law requires.
Children
Our services are sold to businesses and adults. We do not knowingly collect personal information from anyone under 16.
Changes to this policy
If we change this policy we will update the effective date at the top, and for anything material we will email account holders before it takes effect.
